Terms & Conditions


These terms and conditions and the web-based booking form constitute the entire Agreement concerning the provision of Minibus & Coach Hire (“Service”) between you and Bucks Travel Limited Completion of the booking and use of the Service indicates your unconditional acceptance of the terms and conditions set out in this Agreement.

  1. Our company may change these terms and conditions at any time. Existing bookings will be at the rate booking is made.
  2. You must allow sufficient time when booking your Minibus/Coach to allow for the check-in times required by your airline and for any delays caused by traffic conditions. We shall not be responsible for any delay caused by your failure to allow enough time to reach your destination or if the passengers are not ready for collection at the booked time.
  3. You must order a suitable Vehicle size for the number of passengers and luggage. Our company cannot guarantee to carry excessive amounts of luggage.
  4. You must supply all information required on the booking form, please use the special notes box to inform us of anything.
  5. If there are any changes or variations including extra mileage extra waiting time or deviations to the journey other than what was agreed at the time of booking, the client will be charged extras in accordance with our pricing structure.
  6. For airport pick up our driver will wait up to 90 minutes, without having made contact with the passenger. If after 90 minutes driver still has not made contact with passenger, this will result as a no show & no refund will be offered.
  7. We take complaints very seriously and investigate every complaint thoroughly. Please email or call us quoting your reference number and as much information as possible.
  8. At times our company may use sub contractors/ partner company to cover a journey.
  9. You shall be responsible for the behaviour of all the passengers in the Vehicle during the journey. You will be charged to cover cleaning costs in the unlikely event of the vehicle being soiled by any passenger. A full receipt can be emailed direct to you or a hand written business card size receipt can be supplied by your driver. *Please note that an emailed receipt can take up to two working days if asked for on the day of travel to your driver*
  10. Our company have the right to refuse to carry any passenger who is thought to be under the influence of alcohol or drugs.
  11. Our company will refuse or terminate any booking with immediate effect if your behaviour possess any driver or vehicle at risk of damage, violence or abuse by you or any passenger in your party. All passengers will be asked to vacate the vehicle as soon as it is safe to do so. No refund will be given.
  12. Our company will track all incoming flights, to ensure our driver reaches you at your specified time.
  13. Whilst we do our utmost to ensure our drivers are punctual and arrive on time, you will understand that we cannot accept responsibility for delays caused by circumstances beyond our control.
  14. Our company shall use all reasonable endeavours to get you to your destination on time, but shall not be liable for any loss due to delays caused by road or traffic conditions beyond its control on the journey.
  15. Please note that a child, no matter what age, counts as one passenger. You can provide your own child seat and we will bring it back on your return journey. Please note that the installation of the child seat must be carried out by you.
  16. If the driver is stuck in traffic or for any other reasons cannot reach in time at the point of collection, we will try to provide you with a Vehicle from one of our partners.
  17. In the event that our driver does not show up at the scheduled time for collection, please contact our office. If you leave the pickup point without informing us we will not be liable for any compensation to you. If you take another company vehicle without our consent we will not be liable to pay you the price for it or refund you.
  18. We reserve the right to change without notice, your Minibus & Coach driver at any time if necessary. Our company maintains a strict non-smoking policy in all its vehicles. Eating, drinking and smoking are not permitted in our vehicles.
  19. All our vehicles are fully insured for passenger and third party claims. However, customer’s properties are carried entirely at their own risk.
  20. Clients are responsible for ensuring that their luggage is loaded/unloaded at all times. Our company or our sub contractors shall not be held responsible/liable for any loss/damage to such property.
  21. If the Vehicle breaks down during your journey, our company will endeavour to arrange an alternative car to complete the journey as soon as possible.
  22. Our company shall be entitled to cancel all services and provide refunds in the event of a declared national emergency, riot, war, fuel shortage, extreme weather or terrorist attack, or other circumstances beyond its control.
  23. It is illegal to make a private booking with our drivers. Our company will not be liable for any situation faced by the passenger while travelling on a booking not confirmed with the office.

Application - These terms & conditions apply whether a contract has been made verbally or in writing. The hirer is responsible for the actions and decisions of all passengers on board including all additional costs incurred in performing the contract whether or not they actually travel with the party.

Quotations- Quotations are given for Minibus/Coach with driver only, Quotations are valid for 7 days unless otherwise notified.

Use Of The Vehicle - The hirer cannot assume the use of the vehicle between outward return journeys, nor that it will remain at the destination for the hirer's use unless this has been agreed with The Company. The Company reserves the right to levy additional charges for additional mileage or time to that agreed. The charges will be pro rata & in accordance with booking confirmation.

Seating Capacity - The maximum numbers allowed on the vehicle is indicated on the vehicle. No standing passengers allowed. Drivers will not carry an extra passenger over the seating capacity.

Animals - Animals will not be carried on any vehicle, except guide dogs.

Payment - We require minimum £50 deposit to secure the booking. All invoices are due for payment 7 days following the invoice date (unless agreed otherwise). Any invoice outstanding beyond this period will be referred to debt recovery company and will be subject to a surcharge of 15% to cover the collection costs incurred. This surcharge together with all other charges and legal fees incurred will be the responsibility of the customer and will be legally enforceable. Any vehicles with under 10 seats are subcontracted, we act as an agency only for these types of vehicles/bookings, therefore VAT is not applicable.

Cancellation By Hirer  If the hirer wishes to cancel the hire 7 days or more before the hire date a £50.00 administration charge will be levied. If cancelled between 7 and 2 days of the hire date 50% of the cost will be charged. If cancelled 2 days before the hire date or on the day of hire 100% of the cost will be charged. 

Conduct of Passengers - The driver is responsible for the safety of the vehicle. Any passengers whose conduct is in breach of statutory regulations will be removed on the driver's authority. The hirer will be responsible for all damages caused to the vehicle by passengers during the hiring.

Alcohol - Under no circumstances may alcoholic drinks be carried on or consumed upon the vehicle. Please note that drinking Alcohol are not permitted on board vehicles.

Passengers to wear seat belts while on board. Vehicles must be left in a reasonably clean manner, any excessive rubbish, damage or soiling of vehicle will lead to additional charges.

Fouling charge - In the event of fouling in any of our vehicles a charge of £200.00 will be made for cleaning costs and downtime. if the penalty is paid on the night there will be a £25.00 reduction in cost. Payment must be made in full within five days of the fouling. 

Route - The route used, unless the hirer has advised of a particular route or places to be passed enroute, which will be specified on the confirmation letter, will be at the discretion of the company and/or the driver. The vehicle will depart at the times agreed by the hirer, and it's the responsibility of the hirer to account for all passengers at those times. The company will not accept liability for any losses incurred by the passengers who fail to follow instructions given by the hirer.

Breakdown/Delay - The Company gives advice on journey times in good faith, but does not guarantee the completion of a journey at a specific time, and will NOT be liable for inconvenience or loss caused by breakdown or delay.

Drivers Hours - The hours of operation of the driver are regulated by the law and the hirer accepts the responsibly ofensuring the hire keeps to the hours and times agreed by the company. Neither the hirer nor any passengers shall delay or otherwise interrupt the journey in such a way that the driver is at risk of breaching regulations relating to drivers hours and duty time. If any breach is likely to occur the hirer will be responsible for any additional costs.

Property - All vehicles hired are subject to restrictions on carrying luggage for statutory safety reasons & the driver shall be the sole judge as to whether & to what extent passengers property is carried. The Company will not accept liability for any damage or loss of any property, which belongs to any passengers and is left on a vehicle. Any articles of found property recovered from a vehicle will be held at the depot from where the vehicle is based and may be collected from there.

Insurance - All hirers and individual passengers are recommended to obtain insurance for those items where, save for negligence, the company's liability is limited (such as delay or luggage).

Smoking - All Minibuses & Coaches are nonsmoking. 

Surcharges - The quotation given is based on operating costs at the date of the quotation. When more than 28 days elapse between the date of the quotation and the date of departure, the company reserve the right to pass on to the hirer any increase in the cost of fuel or any other increased costs resulting from Government action. We reserve the right to charge a valeting charge for any soiling in our vehicles or damages made by the hirer.
